Secure Password Sharing
There are appropriate and secure ways of sharing a password with someone. Writing passwords down or sending them over chat are not secure ways of sharing passwords.
GateKeeper™ Proximity allows organizations to share passwords between users securely. Admins can directly add new passwords to a user's account or any user with the password can securely share it with another user from their GateKeeper Password Vault or GateKeeper software application.
Sharing an Existing Password with another User from Desktops
If a password already exists in GateKeeper, users or admins can securely share the password with other users or Groups. Whenever a password is updated, the password will also update on every other user's profile account that it is shared with. This is particularly useful for sharing passwords to shared accounts, computers, and desktop applications involving multiple users. An example can be that there's only one login account for a particular software or website that 12 people need to access. If one person creates the account and adds the password to their GateKeeper profile, they can now share it with the rest of their team. Each recipient will receive an email confirmation letting them know that the originator has shared a password with them. Whenever the owner updates a password that was shared with other users, GateKeeper will automatically sync the new password with all users the password was shared with.
There are three methods of sharing passwords:
- Sharing a Password through the Client app
- Sharing a Password through the Chrome Extension
- Sharing a Password through the Hub or Admin Console
Sharing a Password through the Client app
1. Open your GateKeeper Client application on your PC by pressing the Windows key on your keyboard and typing "GateKeeper".
2. Click Passwords on the left.
3. Find the password you would like to share with your colleague and click the share icon on the right.
4. Click Share Password. Done! The user has been emailed a confirmation that you've shared the password and the password is now available in their GateKeeper account.
Sharing a Password through the Chrome Extension
1. Open Google Chrome/Firefox.
2. Click on the "GateKeeper Password Manager" Chrome extension icon located on the toolbar (typically next to the address bar).
- If you don’t see it, click the puzzle icon (Extensions menu) and pin it.
3. Log in to your GateKeeper account and click Open GateKeeper Password Vault
4. Locate the password you want to share with another user and click Share.
5. Select the checkboxes next to the user(s) name that you want to share the password with. You can also select users you want to share the password with by Group.
6. Finally, press Share. Done!
From now on, when the owner of the password changes the password, GateKeeper will auto-sync the updated password to any user's profile that the password has been shared with already - saving lots of time for everyone.
Sharing a Password through the GateKeeper Hub Admin Console
Admins can reduce the number of password updates required whenever passwords change on computers, websites, and applications. Unless it is a password only one user will ever use, any shared accounts can be more easily managed if the admin "shares" the existing password from one user to another instead of re-adding the same password to another user. One password added to one hundred users' profiles is equal to 100 passwords. One password "shared" to one hundred other users is only one password to manage. The password will auto-sync with shared users instantly.
1. Open Google Chrome/Firefox.
2. Log in to the GateKeeper Hub and navigate to the Users tab.
3. Find the password owner's account, scroll over to the Actions category, and click Manage. Navigate to the Passwords.
4. Locate the password you want to share with another user and click Share.
5. Select the checkboxes next to the user(s) name that you want to share the password with. You can also select users you want to share the password with by Group.
6. Finally, press Share. Done!
From now on, when the owner of the password changes the password, GateKeeper will auto-sync the updated password to any user's profile that the password has been shared with already - saving lots of time for everyone.
